How we handle your information.

This notice covers the TCG Tavern website, reservation desk, guided email inquiries, and the published grading and card-cleaning intake form.

Information we collect

The reservation desk collects your name, email address, optional phone number and note, requested offer and quantity, server timestamps, request status, and—during a member window—the Patreon email and tier you claim. It also keeps staff actions needed to operate the queue. The grading and card-cleaning intake asks for your name, phone number, optional email address, card details, requested grading company and tier, and cleaning interest. If you email or call us, we receive the information you choose to provide. We do not ask for payment-card details, passwords, or account credentials through these paths.

How we use it

We use reservation information to enforce one active request per email and offer, verify a claimed member-priority window, record first-come order, allocate capacity, operate a waitlist, communicate payment or fulfillment steps, prevent misuse, and maintain an audit record. We use service-intake information to review the request, clarify options, and communicate next steps. A reservation or intake submission does not itself create a purchase, service agreement, or authorization to charge or begin work.

Website and Google storage

Reservation requests and their audit history are stored in the website’s private Cloudflare-hosted database and are available to authorized TCG Tavern staff. The private confirmation link contains a secret in its browser-only fragment. When opened, that secret is exchanged for a secure, limited status session; anyone with the original full link may be able to open that request’s limited status, so keep it private. The service intake is hosted by Google Forms, with responses stored in TCG Tavern’s Google Workspace and linked response records. Google and Cloudflare may process technical information under their own privacy terms.

Sharing

We do not sell or rent reservation or service-intake information. We may share it with authorized TCG Tavern personnel, technology providers that host or support the request, a grading, payment, event, or fulfillment provider when needed for an approved next step, or another party when required to protect rights, safety, or comply with law. Form, database, and linked-sheet access are managed separately.

Retention and deletion

We retain reservation contact data while a request is active and for a limited period afterward to resolve allocation questions, disputes, refunds, and misuse. Authorized staff can de-identify contact fields on completed, refunded, expired, cancelled, or declined requests while preserving a non-identifying operational audit. We retain service-intake information while reviewing the request and, when a service moves forward, for as long as reasonably needed to administer it and meet accounting or legal obligations. You may ask us to correct, delete, or de-identify information; some records may be retained when an active transaction or legal obligation requires it.

Children and minors

The online intake is not directed to children under 13. If you are under 18, ask a parent or guardian to review the request and consent before you provide personal information or arrange to leave or ship property with TCG Tavern.

Your choices

You may use email or phone instead of the Google Form. To ask what intake information we have, request a correction or deletion, or raise a privacy concern, contact support@tcg-tavern.com. We may need to verify that the request concerns your information before acting on it.

Security and updates

We use reasonable administrative and technical measures intended to protect information, but no internet service can guarantee absolute security. We may update this notice as the website, forms, or services change. The effective date below identifies the current version.
